What Buyers Should Confirm Before Sourcing from China
Many sourcing problems can be avoided before production begins. This guide explains the key checkpoints buyers should confirm before sourcing from China, including supplier qualification, specifications, samples, quality control, lead time, payment terms, packaging, and shipping.

Sourcing from China can be a strong option for industrial buyers looking for competitive pricing, broad supplier availability, and flexible manufacturing capabilities. However, many sourcing problems happen before production even begins.
To reduce risk, buyers should confirm key details before placing an order, including supplier qualification, product specifications, samples, quality control, lead time, payment terms, packaging, and shipping arrangements.
1. Confirm Supplier Qualification
Before working with a new supplier, buyers should understand whether the supplier is a manufacturer, trading company, distributor, or sourcing agent. Each type can be suitable depending on the project, but the buyer should know who is actually responsible for production, quality, and after-sales support.
2. Clarify Product Specifications
Many sourcing issues come from unclear specifications. Before quotation, confirm material, size, color, tolerance, packaging method, labeling, application, performance requirements, and any testing or compliance needs.
Tip: A clear specification sheet is often more important than a long email conversation. The more precise the requirement, the lower the sourcing risk.3. Request Samples Before Bulk Orders
Samples help buyers confirm appearance, material, function, packaging, and overall suitability before mass production. For customized products, sample approval should be completed before the supplier starts bulk production.
For the acceptance record, use the supplier sample approval checklist; receiving a sample and approving bulk production are separate decisions.
Planning a sample shipment from China
- Before dispatch, confirm the sample identity, quantity, specification or revision, receiving contact, full delivery address, and packaging needed to protect the sample.
- Ask who arranges collection, which carrier or account will be used, and who approves the sample and shipping charges.
- Confirm the shipment information and documents requested by the chosen carrier and receiving party.
- Record what will be checked on arrival and keep sample approval separate from bulk-order approval.
- Any dispatch or transit estimate should be confirmed for the actual shipment, not treated as a guaranteed delivery time.
For coordination topics, review Shipping & Delivery. For sample acceptance and inspection discussions, review Quality & Compliance. Send the sample requirement and delivery information to Everprosper for sourcing review.
4. Review Quality Control Plan
Buyers should confirm how quality will be controlled during production and before shipment. Important points include raw material inspection, in-process checking, final inspection, sample retention, defect handling, and reporting format.
5. Confirm MOQ and Lead Time
MOQ and lead time can vary depending on material availability, production schedule, customization level, and order volume. Buyers should confirm realistic lead time instead of relying only on the shortest estimated production date.
6. Check Payment Terms and Commercial Conditions
Payment terms should be reviewed carefully before placing an order. Buyers should understand deposit requirements, balance payment timing, currency, bank charges, refund conditions, and what happens if quality or delivery issues occur.
7. Confirm Packaging and Labeling Requirements
Packaging is especially important for export orders. Buyers should confirm inner packaging, carton strength, pallet requirements, labels, barcodes, shipping marks, user instructions, and any customer-specific packaging requirements.
8. Align Incoterms and Shipping Responsibility
Before shipment, both parties should clearly confirm Incoterms such as EXW, FOB, CIF, DAP, or DDP. This determines which party is responsible for local handling, export clearance, freight, insurance, import clearance, taxes, and final delivery.
